Security & Data Handling

Payroll data deserves transparency

PayGuard is designed to minimize the data required for payroll assurance while keeping the review process secure and controlled. Here is exactly what happens when you use it.

No payroll credentials required
No bank details required
No SSNs or government IDs required
Original files not retained as stored files

Three steps. No surprises.

When a payroll register is uploaded, PayGuard processes it through a deterministic comparison engine. Here is what each step actually does.

STEP 01

Upload

Upload the current payroll register and prior payroll register. An optional change manifest can also be provided to explain expected changes.

STEP 02

Analyze

PayGuard compares payroll data employee by employee and identifies unexpected changes or variances using deterministic rules first.

STEP 03

Assure

PayGuard explains relevant variances and produces the Payroll Assurance Report with audit results ready for review before payroll releases.

Important: Original CSV and Excel payroll files are processed in memory and are not retained as stored payroll files.

What PayGuard processes — and what it does not touch

PayGuard is designed to perform payroll assurance without requiring sensitive identity or financial credentials.

PayGuard may process
  • Employee identifiers and names
  • Department and pay group
  • Current and prior payroll values
  • Gross, tax, deduction and net-pay information
  • Component-level payroll variances
  • Change manifest information
  • Payroll period information
PayGuard does not require
  • Social Security or National Insurance Numbers
  • Bank account details
  • Government identification numbers
  • Payroll platform passwords or credentials
  • Payment card information

How AI is used

PayGuard uses deterministic payroll comparison first. AI is used specifically to explain relevant variances and produce human-readable findings.

Third-party AI involvement — disclosed

When a variance is identified, PayGuard sends a structured summary of the relevant information — such as employee identifiers, payroll values, and component-level changes — to Anthropic's commercial API to generate a human-readable explanation.

PayGuard does not send the original payroll register files to the AI service as a file. Only the specific variance context needed to generate an explanation is transmitted.

Payroll data is processed by a third-party AI provider as part of the explanation step. We do not represent otherwise.

What PayGuard retains

We are transparent about what the current implementation stores. Retention policies are being formalized as PayGuard moves toward customer pilots and production use.

Original payroll files
Not retained — CSV and Excel files uploaded for analysis are processed in memory and not stored as payroll files.
Audit results
Currently retained — Employee identifiers, payroll period, variance results, findings, AI-generated explanations, and aggregate audit metrics.
Tenant isolation
Audit results are scoped to the authenticated company account. Data is not accessible across tenants.
Deletion policy
Being formalized — The detailed retention and deletion policy is currently being finalized ahead of production pilots. Automatic deletion timelines will be stated only when those controls are implemented.

What is implemented today

These are the controls currently in place. We do not claim certifications or controls beyond what is verified in the product.

HTTPS / TLS in transit

All data transmission between client and server is encrypted. Payroll data is not logged in plain text in application logs.

Authenticated access

Protected audit endpoints require authentication. Access controls are applied to prevent unauthenticated access to audit data.

Company / tenant isolation

All audit data is scoped to the authenticated company context. Company isolation is enforced at the application level using authenticated company identifiers.

Restricted CORS & rate limiting

Cross-origin requests are controlled. API rate limiting is enforced to prevent abuse.

Controlled database access

Database access is restricted and not publicly exposed. Connections are authenticated and scoped.

What we do not claim: PayGuard does not currently hold SOC 2, ISO 27001, or other formal security certifications, and does not claim encryption-at-rest or penetration-test results. These will be stated only when implemented and verified. We follow the principle: we do not claim a security control unless it exists in the product.

Who handles your data — and their security posture

PayGuard uses two third-party providers in delivering the service. We disclose both, their role, and the security certifications they hold.

Provider Purpose Data involvement
Render
SOC 2 Type 2 ISO 27001 GDPR-DPA
View Render security →
Application hosting and database infrastructure Hosts the PayGuard application and persisted audit data. Render maintains SOC 2 Type 2 and ISO 27001 certifications for its platform and infrastructure.
Anthropic View Anthropic Trust Center → AI-powered payroll variance explanations Receives the relevant variance context — employee identifiers, payroll values and component-level changes — needed to generate human-readable explanations. Original payroll files are not sent.
Important: PayGuard's application and database infrastructure are hosted on Render, which maintains SOC 2 Type 2 and ISO 27001 certifications for its platform and infrastructure. These certifications apply to Render's controls and do not represent a SOC 2, ISO 27001, or GDPR certification of PayGuard itself.

Your data remains yours

"Customers retain ownership and control of their payroll data. PayGuard processes customer data to provide payroll assurance services and does not sell customer payroll data."
